1. About CivicFix
CivicFix allows:
- Citizens to report civic issues (e.g., potholes, garbage, water leakage)
- Authorities to review and assign issues
- Departments to resolve and upload proof of completion
The platform acts as a facilitator between users and government systems.
2. Information We Collect
a. Account Information
When you create an account, we may collect:
- Email address (for authentication)
- Password (securely handled via Firebase Authentication)
- User role (Citizen / Authority / Department)
b. Profile Information
Citizens
- Name (optional or minimal use)
- City, State, Address
- Civic ID (generated by system)
Authorities
- Full Name, Official Email, Designation
- Department Name, Office Address
- City, State, Ward/Zone
- Government ID details & Documents
c. Issue Data
When reporting issues, we collect:
- Issue description and images uploaded
- Location data (GPS or selected location)
- Category (roads, sanitation, water, etc.)
d. Communication Data
Via the Community Feature, we collect:
- Messages sent in public/community chats
- Civic ID and approximate location (ward/city)
⚠️ Real identity (name, email, phone) is NOT shown publicly.
3. How We Use Your Data
We use collected data to:
- Enable issue reporting and tracking
- Assign issues to appropriate departments
- Verify authority accounts
- Improve platform functionality
- Maintain security and prevent misuse
- Enable community discussions (anonymously)
4. Authentication & Security
We use Firebase Authentication (Google) for:
- Secure login (Email/Password)
- Email verification
- Optional phone number verification
We do not store passwords manually.
6. Data Storage
- User data is stored securely on backend servers.
- Images may be stored using cloud storage (e.g., Cloudinary).
- Authentication handled via Firebase.
7. User Roles & Privacy

8. Location Data
We collect location data only for reporting issues and assignment. We do not track users continuously.
9. Data Retention
Data is stored as long as the account is active. Users may request deletion of their data.
10. User Rights
Users can update profiles, request deletion, and report misuse through our support channels.
11. Community Safety
Messages may be monitored to maintain a safe environment. Admin may remove content or block users.
12. Children’s Privacy
CivicFix is not intended for users under 13. We do not knowingly collect data from children.
13. Changes to This Policy
We may update this periodically. Significant changes will be notified to users.
